Position Overview
The Executive Assistant and Project Supervisor will provide high-level administrative, analytical, and project management support to the Chief Operating Officer (COO). This role requires a highly organized and detail-oriented professional capable of managing complex workflows, tracking deliverables, analyzing reports, and coordinating operations across multiple departments.
Key Responsibilities
Executive & Office Management

Manage the COO’s calendar, meetings, and daily schedule.

Prepare and review reports, presentations, and official correspondence.

Organize and document meetings, including agendas, minutes, and action items.

Maintain strict confidentiality and demonstrate professionalism at all times.
Operational, Analytical & Project Support

Analyze operational data and create performance reports for decision-making.

Develop dashboards, business insights, and strategic presentations.

Track progress of key projects and ensure alignment with organizational goals.

Coordinate project timelines, deliverables, and stakeholder communications.

Work with internal departments to gather and structure information for reports.
Strategic Coordination

Support planning and execution of departmental and organizational initiatives.

Provide regular activity updates to the COO.

Anticipate administrative and analytical needs to streamline the COO’s operations.
Qualifications

Proven experience supporting senior executives, preferably in a multinational or large organization.

Strong project management capabilities with experience using tools such as Asana, Trello, or MS Project.

Excellent analytical skills and proficiency in Excel and PowerPoint.

Strong interpersonal and communication skills; comfortable working with senior stakeholders.

High proficiency in Microsoft Office Suite.

Strong initiative, emotional intelligence, and ability to work under pressure.

Highly detail-oriented with strong proofreading and document preparation abilities.
