Job Title: Administrative Officer

Reports To: Senior Administrative Manager
Job Summary
The Administrative Officer will provide vital support to the Senior Administrative Manager by ensuring the smooth operation of daily office functions. This includes managing correspondence, maintaining documentation, coordinating logistics, overseeing office supplies, and assisting with internal communications and events.
Key Responsibilities

Draft offer letters, invoices, and official correspondences.

Review tenancy, sales, and property management agreements.

Handle professional correspondence with clients and prospective clients.

Maintain an efficient documentation and filing system.

Process fund requests and track expenses with accuracy.

Coordinate company carpool operations, ensuring efficient use of vehicles and proper record-keeping.

Supervise the Front Desk Officer in managing vehicle logs, fuel records, and movement schedules.

Ensure all vehicle documentation (licenses, insurance, etc.) are current and properly filed.

Approve driver rosters and oversee fleet performance and maintenance.

Monitor office consumables and inventory, placing supply orders as needed.

Conduct quarterly market price checks to ensure cost efficiency.

Oversee office and external environment maintenance, including lawns, gardens, and parking areas.

Supervise the Front Desk Officer to ensure guests and calls are handled professionally.

Organize meetings, internal appointments, and company events.

Handle incoming and outgoing mail and communication effectively.

Adapt to any additional responsibilities as required.
Qualifications

Bachelor’s degree or HND in Business Administration, Office Management, or related field.

Minimum of 3 years’ experience in an administrative role, preferably in real estate or a corporate environment.

Familiarity with property management documentation is an advantage.
